Cash flow kills more small service businesses than a lack of work does. You can be fully booked and still skint if the money lands six weeks after the job. The good news: getting paid faster is mostly about habits, not luck. Here are seven that work.
1. Invoice the same day you finish
The longer you wait to send the invoice, the longer you wait to get paid, and the more the job fades in the customer's mind. Invoice while the work is fresh and the customer is happy. Same day is the goal. If you can do it before you pull off the driveway, even better.
2. Make it payable in one tap
If paying you means a bank transfer they have to set up manually, you've added friction, and friction means delay. An invoice with a 'pay now by card' button gets paid faster, full stop. People pay what's easy to pay.
3. Take a deposit on bigger jobs
For anything sizeable, ask for a deposit up front. 25–50% is normal. It covers your materials, it commits the customer, and it means you're never fully exposed if they drag their feet on the final bill.
4. Set clear, short terms
'Payment due on receipt' or 'due within 7 days' beats the vague '30 days' that most people read as 'whenever'. Put the terms on the invoice in plain words. Clear expectations get met more often than fuzzy ones.
5. Itemise so there are no questions
A confused customer is a slow-paying customer. If the invoice clearly shows what they're paying for and matches the quote they agreed to, there's nothing to query and no reason to stall.
6. Follow up without apologising
If an invoice goes past due, send a polite, matter-of-fact reminder. You did the work and the money is owed. 'Hi, just a reminder that invoice #104 is now due. You can pay by card here.' Most late payments are forgetfulness, not refusal.
7. Keep one list of who owes you
You can't chase what you can't see. If your outstanding invoices live across texts, a notebook and your memory, some will slip. One clear list of what's owed and what's paid is the difference between chasing on time and finding out three months later.
